What is a mail transfer agent (MTA)?

A mail transfer agent (MTA) is software that manages the transfer of email messages between mail servers. Commonly referred to as a mail relay or mail router, an MTA acts as an intermediary, receiving outgoing messages from mail user agents (MUAs) or other mail transfer agents and ensuring their accurate delivery to the intended recipients. In this capacity, mail transfer agents ensure that messages are correctly routed and successfully reach their destination. They play an essential role in maintaining the efficiency and reliability of email communication.

How does a mail transfer agent (MTA) work?

MTAs facilitate the transfer of messages between the mail servers of a sender and receiver. During this exchange, the mail transfer agent performs a number of actions before a message gets transferred to its destination.

  • Identifying the recipient’s server: MTAs use the Simple Mail Transfer Protocol (SMTP) to understand the full context of a message, including where it should be sent. If the sender and receiver of the message use the same mail server, the MTA routes the message directly to a mail delivery agent (MDA) to pass directly to the recipient’s inbox. If the sender and recipient use different mail servers, the MTA performs a MX record lookup to verify the mail server that handles the incoming messages for the receiver. Then, the MTA may need to route the message to another MTA for delivery.
  • Establishes a connection: Once the mail transfer agent identifies the appropriate mail server, it establishes a connection with it to transmit the message. If the receiving server doesn’t respond, the MTA retries the process multiple times. If none succeeds, the MTA returns the message to the sender.
  • Updates the sender on delivery status: The MTA also keeps the sender apprised of the message status during transmission. The MTA sends a delivery status notification (DSN) to the sender, alerting them of a successful, delayed, or failed delivery.

  • Effective reputation protection: MTAs help protect the sender’s reputation by limiting the number of emails sent during a specific period (a process known as email throttling). MTAs also help facilitate IP warming, which is the process of gradually increasing email transmission for new IP addresses.
  • Timely sender notification: MTAs communicate the delivery status of messages to senders. This keeps them aware of any potential issues with the message’s transmission.
